About this policy
Emerald Electric LLC operates Emerald Invoice, an application for authorized internal business users. The App supports customer and job administration, estimates, invoices, attachments and records of money already received. It is not a public customer account service. This policy concerns the App; Emerald’s public website privacy policy remains separate.
Information we handle
The App handles user identity and access information, such as names, email addresses, identity-provider identifiers and business roles. Business records may include customer contacts, billing and service addresses, job descriptions, work dates, daily notes, hours, estimates, invoice line items, amounts, payment status and records of money already received. Authorized users may upload receipts and other attachments. The App also keeps activity information used to identify changes and investigate operational or security problems.
Users supply business records and files directly or through supported imports. Authentication services supply identity information used for sign-in. Do not upload passwords, payment-card credentials or unrelated sensitive information into App records or attachments.
How information is used
We use this information to administer Emerald’s work, prepare and maintain estimates and invoices, record received money, provide authorized access, maintain record history, support users and investigate problems. App records do not independently verify that work occurred or funds were received.
Optional connections are used only for their disclosed and authorized purposes. Keeping business records in the App does not itself require a QuickBooks connection.
Access and service providers
Russell Gardner is the sole approval authority for adding or removing Emerald business users. Users access records within their approved responsibilities and assigned permissions. Privacy and support requests are handled by Russell Gardner.
The App uses Cloudflare Workers for application hosting, D1 for database storage, R2 for file storage and Cloudflare Access for access protection. Authentication and hosting services process information needed to provide these functions. Database records and attachment files are stored separately. This policy does not promise that all processing, storage or recovery copies remain exclusively within the United States.
Optional connections
QuickBooks integration is not currently enabled. Its initial connection implementation is designed for read-only verification of an authorized company and selected deposit account. Invoice and received-payment synchronization is planned, not an operating connection. Intuit’s accounting authorization can be broader than the App’s initial functionality; a connection does not authorize use beyond the functionality separately approved for the App.
If QuickBooks connectivity is enabled, Emerald will provide an updated description of the actual data exchanged and authorization information retained before that use begins. Intuit’s own applicable terms and privacy statement also govern its services. Its privacy statement is available at https://www.intuit.com/privacy/statement/.
The App’s Gmail sending integration is currently disabled. A separately authorized email service or assistant is distinct from email delivery by the App. Recording money already received does not charge a card, transfer funds or process a payment.
Session technologies and security
The App and its authentication services use session-related technologies to maintain access. Disabling necessary cookies may prevent sign-in or connection completion.
We use access restrictions and technical safeguards intended to protect App information. No online system can guarantee complete security. This policy does not promise that every user is subject to the same authentication method or that a particular recovery outcome is available.
Retention and removal
Invoice and job records remain in the App until the owner explicitly requests deletion, subject to review of applicable preservation requirements. Voiding an invoice or payment does not delete its record.
Copies of uploaded receipts and other invoice attachments remain until Russell Gardner manually removes them. Sending or paying an invoice does not trigger automatic attachment cleanup. Russell maintains separate attachment records outside the App.
The attachment-removal function removes the attachment’s stored file and associated attachment entry. It retains activity history and does not delete the related invoice or job. Previously saved invoice PDFs, exports, separately retained copies and historical logo files are separate from this removal action.
Activity and operational records, authorization information and provider recovery copies are handled separately from invoice records and uploaded attachments. No fixed retention or recovery period is promised here. Contact Emerald about the information you want removed so the relevant records, technical limits and applicable preservation requirements can be reviewed.
Removing App information does not necessarily remove exported copies, provider recovery history or records held by another service. A QuickBooks disconnection, if that connection is enabled, is separate from deletion of business records. An uncertain revocation may require further action rather than being treated as completed.
Exports and recovery
Available exports may contain structured records and attachment information without every attachment file or all historical activity. An export is not proof of a regular or comprehensive backup. Provider database recovery is distinct from attachment-file backup. No scheduled App backup process or particular backup frequency, recovery period or recovery result is promised by this policy.
Requests and contact
To request access to, correction of or deletion of information, or to raise a privacy concern, contact emeraldelectricaz@gmail.com. Russell Gardner is responsible for handling these requests. People whose information appears in business records may contact us without having an App account. We may verify identity and authority before acting on a request. No immediate deletion from every backup, export or third-party system is promised.
Policy changes
We will update the published policy date when this policy changes. Authorized internal users will receive the Terms and material policy changes by email and will be asked to acknowledge them by reply. An unanswered email or continued use alone is not treated by these policies as an affirmative acknowledgment. This notice process does not imply that the App itself sends those emails.
